Volunteer Coordinator

The Volunteer Coordinator is a member of the administration team, along with the Administrative Assistant. Reporting to the Chief Operating Officer (COO), the Volunteer Coordinator is responsible for the recruiting, training and monitoring of volunteers, and associated admin duties. They assist with social media platforms and communications. Assist various team members such as the Administrative Assistant as required.

 

Volunteer Coordinator Duties and Responsibilities:

  • Manage and maintain volunteer list and master list

  • Plan, arrange and host volunteer orientations for new volunteers

  • Email volunteers re weekly gaps and volunteer pleas as needed

  • Communicate with volunteers regularly regarding shift sign up and cancellations

  • Handle volunteer concerns, reassignment and conflict resolution

  •  Respond to volunteer inquiries including new interested volunteers, and volunteer suggestions and questions.

  • Monitor volunteer statistics on calendars (who are missing multiple shifts, who

  • have helped frequently, what shifts are most difficult to fill)

 

 

Qualifications:

  • Strong attention to detail a must

  • Excellent computer skills

  • Excellent customer service, interpersonal and communication skills

  • Ability to use a variety of software programs (Microsoft Office Suite, Word, Excel)

  • Self-directed with the ability to organize, plan, prioritize and multi-task

  • Strong social media skills

  • Flexible, adaptable and responsive to change

  • Strong team-work focus

  • Strong analytical and problem-solving skills

  • Ability to work independently.

  • A current police record check

 

Working Conditions:

  • Working from home remotely

  • Up to 4 hours/week – may be required to work additional hours as required

  • Contact with the public and private sectors in a fast-paced and changing work environment, which at times may be stressful or emotionally charged.

  • Start date around the beginning of September. Exact date to be determined.

Volunteer General Administration-Coordination

To do well in this role you need to be able to remain calm when clients are frustrated and have experience working with computers, work well independently and close attention to detail.

Volunteer Duties and Responsibilities

  • Maintaining a positive, empathetic, and professional attitude toward clients always

  • Communicating with Instructors, Partners, Sponsors, through various channels

  • Acknowledging and resolving Instructor, Partner or Sponsor feedback,

  • Processing, filing, and organizing Instructor, Partnership and Sponsorship, applications, and requests

  • Communicating and coordinating directly with COO and CEO and Marketing team

  • Ensure client satisfaction and provide professional client support

Requirements:

  • Computer skills are necessary - specifically EXCEL and including Outlook and Word, Publisher and Adobe Acrobat desired, but not required

  • Must be courteous and personable with good interpersonal skills and a friendly manner

  • Possess excellent interpersonal skills with the ability to effectively communicate in English (verbally and in writing)

  • Must be dependable, punctual, work well independently and as part of a team

  • Willing to take initiative, and committed to meeting deadlines

  • Strong communication skills

  • Ability to keep calm in high-pressure situations

  • Ability to articulate key messages clearly and concisely

  • Reliable, organized and able to work with minimal supervision

 

Expectations:

· The volunteer will be reliable with mature insight, able to meet deadlines through careful time management and well organized with attention to detail.

 

Time Commitment:

· A regular commitment of 4 hours weekly to help with the workload is appreciated, hours may vary week to week.  The different tasks involved may sometimes require irregular volunteer hours.

 

Location:

· Working from home and able to communicate with COO via email/phone, also available to meet when needed using an online meeting platform or in person.
